What You'll Do

  • Maintain CRM data hygiene in HubSpot: updating/flagging contact records, company profiles, lead stages, and activity logs based on input from the Business Development and Sales teams
  • Support CRM and sales reporting; flag stalled leads, missing data, and workflow exceptions
  • Support Business Development and Sales teams with follow-up tracking and admin support
  • Prepare outreach lists and contact packages to support prospecting activities
  • Monitor designated project intelligence sources, and flag new opportunities
  • Greet and assist visitors as they enter office, ensuring a welcoming and professional reception area
  • Answer and direct incoming telephone calls including answering inquiries regarding services
  • Respond to emails and office correspondence
  • Perform data entry and filing activities
  • Sort and distribute incoming mail; Post outgoing mail
  • Keep reception area and lobby clean and tidy at all times
  • Manage office supply inventory
  • Accounts payable support including, but not limited to vendor invoice entry, credit card allocations and statement reconciliation
  • Perform additional assignments as required by the needs of the Corporation or as directed by Supervisor

What You Need to Have

  • A professional image and superior customer service skills
  • Dependable and accountable
  • Knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Teams
  • Experience with CRM platforms (HubSpot preferred); comfort learning new systems quickly
  • High attention to detail in data entry
  • Familiarity with sales support, pipeline tracking, or commercial operations environments
  • Ability to follow structured process documentation and workflows without requiring constant direction
  • Experience supporting a sales or BD team in a B2B or construction/industrial context is an asset
  • Highly organized and detail oriented with general knowledge of office procedures
  • Strong written and verbal skills to communicate with all levels within the organization
  • Comfortable troubleshooting data discrepancies and day-to-day process issues
  • Meticulous records maintenance skills
  • Own transportation (no nearby public transportation)
