What You'll Do

  • Coordinate onboarding for new employees, including booking required tests, orientations and training, sending onboarding communications, and ensuring a smooth start into their roles.
  • Serve as the primary administrative point of contact for craft, hiring managers, and union representatives.
  • Maintain accurate employee records and project directories within Procore, and assist craft employees with Procore navigation when required.
  • Perform general administrative duties including data entry, filing, document control, internal communications, and supporting Office Manager–assigned tasks.
  • Provide administrative support to Accounting, Payroll, and other internal departments, including accounts payable functions such as commitment management, invoice validation, credit card allocations, and statement reconciliation.
  • Liaise with internal departments and field personnel to support daily operations, workforce planning, and manpower coordination.
  • Assist with project administration including cost tracking support, timesheet accuracy checks, change order documentation, and updates to project schedules or deliverables within company ERP system.
  • Generate client facing LEMs in company ERP system.
  • Track and maintain project documentation, specifications, reports, and other records to ensure accuracy and compliance with internal standards.
  • Support project progress capture by field personnel using established company tools and support the preparation of reports, logs, and status updates.
  • Support subcontractor and vendor coordination activities, including document distribution, data organization, and communication follow-up.
  • Assist with internal controls, guideline adherence, and ensuring documentation complies with corporate safety, quality, and training requirements using company safety software.
  • Maintain organized digital and physical filing systems for project and corporate documentation.
  • Support cross-departmental collaboration across all Park Derochie locations as operational needs arise.
  • Perform additional administrative responsibilities as required.

  • Database, Purchase Order and Vendor Invoice experience

  • Procore experience an asset
